Communication Process
(Basic 4) -> Sender, Message, Receiver, Feedback
Sender and Receiver are humans.
Considerations for the sender and the receiver of the message is highly important in an organization so as to not create communication breakdown...
The considerations can be that human have feelings, differences in the level of knowledge, experience, and status perhaps...
Culture consideration is also important because it is a sensitive issue in an organization...
Next point...
Between Message and Receiver there's the Channel...and
Between Message and Channel there's the Gatekeeper...
Oh yeah! When additional elements such as Gatekeeper and Channel are added,
the process became a Mass Communication Process...
Another element to consider in this process is
the Time
where the Message will take some time to process
from the sender through the gatekeeper
and the channel to the receiver
and the time taken for the receiver to give feedback to the sender...
The element Time here explains that
"communication may change through time"
or it can be understood as
"what you get today may be changed tomorrow"
or "today's info can be outdated tomorrow as time passes"
so managers must always be alert about this...
Be careful of what you say or put into words
To note: The Receiver can be a Sender and
The Sender can be a Receiver
when
the Sender (the Receiver) send feedback to the Receiver (previously the Sender)
It is also important to note that Communication is a continuous process...
Also a Sender communicates with someone
rather than to someone
because the other person will respond...
'With' portrays two-way communication whereas
'To' portrays one-way communication..
They are obviously differences there...
and of course in order for it to be called communication
it must be in a two-way direction...
Between the lecture,
someone asked about the nonverbal communication...
A bit of information was touched about it
and the lecturer mentioned
about some of the nonverbal communication attributes
such as
body language,
sign language, etc...
She also mentioned that
nonverbal communication will catch more attention than verbal communication
Next...
In depth introduction to the Channel of communication was given.
To name a few, information can be communicated
through face-to-face channels,
through written channels,
through group channels, or
through a variety of mediated channels, including the telephone or computers...
The class was introduced to the Infinity Theory or
also known as Infinity Model
where it suggests that
communication never stops...
Next she mentioned that communication fluctuates which means
How the conversation affects the person...
because
communication must always have an effect on everyone...
The class was also introduced to the 5 communication axioms (by Paul Watzlawick - Interactional View Theory where interpersonal communication is seen from a whole view
First
One cannot NOT communicate...
Second
Human beings communicate both digitally and analogically...
Third
Communication = Content (Message) + Relationship (between the Sender and the Receiver)
Fourth
The nature of a relationship depends on both parties punctuate the communication sequence
Lastly
All communication is either
symmetrical (both Sender and Receiver shared the same information) or
complementary (both Sender and Receiver complement each other by sharing what they know thus making 2 different information shared and maybe can be understood by both parties)
Next...
another topic covered in the first class is
the Internal Personality Factors
Everyone knows that communication basically involves people...
Thus, communication can be difficult (due to different knowledge, different culture, etc.)
To overcome this human must try to find common ground that can be shared by both parties...
(Whether it is symmetrical or complementary factors)
For example,
if one person lacking in performing a particular tasks,
you should not just sit back and watch...
help the person...
share your knowledge...
Share your complementary factors...
He doesn't know but u know, so share...
maybe there are things you don't know and he knows...
he'll definitely return his gratitude to you...
and this can get both of u
to improve on your relationship
as colleagues for example...
this is complementary behavior and
it always help increase confidence in any communicating
with just about anyone...
Also...
there are factors to consider when making conversation with people
such as
status (where we stand in the hierarchy)
attitude (people tend to look at other people's attitude to avoid saying the wrong words)
The lecturer gave an example where
a Sender unintentionally said some unfavorable words
(due to his habit of saying the word and not considering the Receiver's feeling)
to the Receiver making the Receiver stop communicating with the Sender...
This left the Sender wondering
why the Receiver didn't give him feedback anymore...
So watch your attitude when conversing with someone...
you could give them the wrong impression
or hurt them in the process...
current emotional state (always on alert of the Receiver's current emotional state
--> know how to deliver and also one may need to divert the conversation into another state that is soothing for the Receiver to accept in order
to avoid -if there is any- problem from getting worse)
communication skills (some people may be good at either talking @ writing @ being quiet)
